Position Summary
The Office Administrator is responsible for ensuring the smooth day-to-day operation of the office by managing front desk reception, office services, facilities coordination, and administrative support. This role serves as the first point of contact for visitors and provides critical support to internal teams, working closely with the Executive Assistant to the CEO.
This position requires a proactive, organized, and service-oriented professional who can manage multiple priorities while maintaining a positive and professional office environment.
Key Responsibilities
Reception & Front Desk
- Greet and assist visitors, clients, and vendors in a professional and welcoming manner
- Answer, screen, and direct incoming phone calls
- Manage conference room scheduling and front office appearance
- Coordinate office maintenance, repairs, and vendor services (cleaning, building management, etc.)
- Monitor and maintain office supply inventory; place orders as needed
- Manage incoming and outgoing mail, packages, and deliveries
- Support office organization and ensure common areas are well maintained
- Provide clerical and administrative support to internal departments
- Assist with document preparation, filing, data entry, and reporting
- Support meeting logistics (room setup, materials, catering coordination)
- Partner closely with the Executive Assistant on office-related initiatives and executive support tasks
- Help coordinate company events, meetings, and office activities
- Assist with ad hoc projects as needed
- Support onboarding logistics for new hires (workspace setup, supplies, coordination)
Required
- 3-5 years of experience in an administrative, office support, or receptionist role
- Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Professional demeanor and strong customer service orientation
- Ability to work onsite Monday through Friday
- Experience supporting office operations or facilities coordination
- Experience working in a corporate or professional services environment
- Associate or Bachelor’s degree (preferred but not required)

- Salary Range: $22–$28/hour
