Mechanical Project Engineer

POSITION SUMMARY

The Mechanical Project Engineer is responsible for supporting the successful planning and execution of mechanical projects through material coordination, quantity takeoffs, procurement/buyout support, submittal development, and design coordination.

The Mechanical Project Engineer works closely with Project Managers, Engineering, Estimating, Procurement, vendors, and field personnel to ensure materials and technical information are identified, reviewed, approved, purchased, and available when required by the project schedule.


A key responsibility of this position is to proactively identify design conflicts, missing information, constructability concerns, and material risks before they negatively impact procurement, fabrication, or field installation.

The Mechanical Project Engineer is expected to maintain ownership of assigned coordination items from identification through resolution.

KEY RESPONSIBILITIES

MATERIAL COORDINATION
Coordinate project material requirements from initial identification through procurement and delivery. Responsibilities include:

  • Review project drawings, specifications, schedules, and scope requirements.
  • Develop and maintain material procurement schedule based on project needs.
  • Coordinate material requirements with the Project Manager, Engineering, Procurement, and field teams.
  • Identify long-lead materials and equipment early in the project.
  • Track required-on-site dates against procurement and fabrication lead times.
  • Verify material quantities and requirements prior to procurement.
  • Submit material requisitions and purchasing documentation.
  • Coordinate with vendors to obtain technical information, pricing, lead times, and availability.
  • Monitor material status and identify potential impacts to the project schedule.
  • Escalate material concerns before they become project delays.
QUANTITY TAKEOFFS
Perform detailed mechanical material takeoffs from project drawings, specifications, and design documents. Responsibilities include:
  • Develop accurate quantity takeoffs for mechanical materials and equipment.
  • Review drawings for completeness and consistency.
  • Compare takeoff quantities against estimates, budgets, and procurement requirements.
  • Update takeoffs as designs develop or revisions are issued.
  • Identify quantity changes resulting from design revisions.
  • Support Estimating, Procurement, and Project Management with quantity verification as required.
Takeoffs should provide a reliable basis for material procurement and buyout.

PROCUREMENT & BUYOUT
Support and coordinate project buyout activities for assigned mechanical materials and equipment. Responsibilities include:
  • Develop material/equipment buyout packages.
  • Identifying qualified vendors and suppliers.
  • Obtain and organize vendor quotations.
  • Perform bid/quote comparisons to verify scope and identify exclusions or gaps.
  • Confirm quantities, specifications, delivery requirements, and commercial considerations before purchase.
  • Coordinate technical questions with Engineering and the Project Manager.
  • Assist Procurement and Project Management in completing material buyout.
  • Maintain visibility of outstanding buyout items and required decision dates.
  • Identify opportunities for cost savings, alternate materials, or improved procurement strategies where appropriate.
SUBMITTAL GENERATION & MANAGEMENT
Coordinate the development and submission of mechanical submittals. Responsibilities include:
  • Review project specifications and drawings to identify required submittals.
  • Develop and maintain a submittal register.
  • Obtain product data, shop drawings, certifications, technical information, and other required documentation from vendors.
  • Review vendor documentation for completeness and compliance before submission.
  • Assemble and generate submittal packages.
  • Coordinate technical review with Engineering and Project Management.
  • Track submitted items through approval.
  • Manage comments, revisions, and resubmissions.
  • Ensure approved submittals align with materials being purchased.
  • Identify submittal approvals that could impact procurement or the project schedule.
The objective is to prevent procurement or fabrication from being delayed because required technical information or approvals were not obtained.

DESIGN COORDINATION & ISSUE MANAGEMENT
Actively review project design information and identify issues that could affect procurement, fabrication, installation, cost, or schedule. Responsibilities include:
  • Review drawings, specifications, vendor information, and design revisions.
  • Identify missing information, discrepancies, conflicts, and constructability concerns.
  • Coordinate identified issues with Engineering and the Project Manager.
  • Assist in developing Requests for Information (RFIs) when clarification is required.
  • Track design questions and issues through resolution.
  • Monitor drawing revisions and determine their impact on materials already taken off, submitted, purchased, or fabricated.
  • Communicate design changes to affected team members.
  • Identify potential cost and schedule impacts resulting from design changes.
  • Maintain visibility of unresolved design issues and escalate items that threaten project milestones.
PROJECT COORDINATION
Work closely with the Project Manager to support overall project execution.
The Mechanical Project Engineer should maintain visibility of:
  • Material requirements
  • Material requisitions
  • Buyout status
  • Submittal status
  • Long-lead equipment
  • Engineering requirements
  • Open RFIs
  • Design issues
  • Drawing revisions
  • Vendor information
  • Required material delivery dates
The position should regularly communicate upcoming requirements, outstanding decisions, and potential risks to the Project Manager.

REPORTING & WORKING RELATIONSHIPS
The Mechanical Project Engineer will work closely with the Project Manager and Project Executive while maintaining regular coordination with:
  • Engineering
  • Estimating
  • Procurement
  • Safety and Quality Control
  • Vendors and suppliers
  • Superintendents and field personnel
KEY PERFORMANCE EXPECTATIONS
Success in this position will be measured by the ability to:
  • Produce accurate and timely material takeoffs.
  • Complete material buyout in accordance with project requirements and schedule.
  • Identify long-lead materials early.
  • Generate complete and accurate submittals.
  • Maintain visibility of submittal and approval status.
  • Identify design issues before they impact field installation.
  • Track design issues through resolution.
  • Maintain accurate material and procurement information.
  • Anticipate project needs rather than react to problems.
  • Effectively coordinate between Engineering, Procurement, Project Management, vendors, and field personnel.
  • Meet established project deliverables and deadlines.
REQUIRED SKILLS & COMPETENCIES
The successful Mechanical Project Engineer should demonstrate:
  • US Citizenship is required
  • Minimum 3-5 years of experience in mechanical buyout.
  • Strong understanding of mechanical construction drawings and specifications.
  • Ability to perform detailed material and equipment takeoffs.
  • Understanding of mechanical materials, equipment, and systems.
  • Ability to read and interpret plans, specifications, schedules, and technical documents.
  • Strong organizational and document-control skills.
  • Ability to manage multiple priorities and deadlines.
  • Strong attention to detail.
  • Strong written and verbal communication skills, with the ability to clearly communicate technical information, project requirements, design issues, and required actions.
  • Ability to effectively communicate and coordinate with Project Managers, Engineers, Procurement personnel, vendors, suppliers, and field teams.
  • Ability to identify problems and drive them toward resolution.
  • Strong follow-through and personal accountability.
  • Working knowledge of construction procurement and material buyout.
  • Ability to understand the relationship between design, procurement, fabrication, and field installation.
  • Proficiency in Microsoft Excel, including the ability to develop and maintain material logs, takeoffs, procurement tracking, and project-related spreadsheets.
  • Proficiency in Bluebeam Revu for drawing review, quantity takeoffs, markups, document comparison, and design coordination.
  • Working knowledge of Procore for project documentation, submittals, RFIs, procurement/material tracking, and project coordination.
  • Familiarity with Primavera P6 is a plus, including the ability to review project schedules and understand how procurement, submittals, engineering, and material deliveries relate to project milestones
SALARY RANGE $85,000-$110,000
